Managing Periods

In the system a period is a stretch of time for which a report will be issued.

  • Grades and classes are created within periods
  • Students are assigned to classes for a period
  • Most things within the system are tied to a period
  • A period may be a term or a semester depending on how your school operates.

At some point you will need to create a new term/period.

Creating a period

  1. Go to the Administrative Menu
  2. Click Edit Period
  3. Click the Create New Period button.
  4. Enter the option
  5. Fill in all the options, especially the start date, end date and semester.
  6. Be sure to set it to the CURRENT PERIOD if you want the system to move into the new period.
  7. After activating a new period please log out and allow 2 to 3 hours for the system to transition.

Period settings

  1. Title: this is how the period is represented in labels. e.g. “Sep – Dec 2011” or “2011-2012 Term 1”
  2. Academic year: this is the calendar year in which the start of the school year falls. This allows the system to join related data for the school year.
  3. Number of sessions: this is the base line that the system uses to calculate parent attendance.
  4. Current Period : identifies the active reporting term in which all data is stored.
  5. Final Period: this allows the system to know that the school year ends at the end of this period. 

Changing periods

You are able switch between periods at any point. If you need to edit data from a previous period you will need to switch back. Note that in order to edit the data you will need to set up an override. (see use access).

Normally you will be able to view and generate previous without switching periods.

  1. Click the period label in the top right hand corner
  2. On the page that loads select the period to which you wish to switch.
